In the Moodle folder „Employees“ of the intranet, you will find under the sections „Working hours“ and „Service agreements“ various documents that provide information on guidelines and specifications for working hours and absences.
The time worked is determined by self-recording for employees participating in flexible working hours. A standardised form is available in the process portal for this purpose, which can be processed using a PC. Instructions for completing the form can be found within the document.
Please submit each month's time sheet to your line manager for signature by the 5th working day of the following month. This person must forward the signed form to the Registrar by the 15th of the month, who will keep the form for two years and then destroy it.
Any abuse, in particular non-compliance with the prescribed working hours, attempts to cheat when recording the working hours to be worked and abuse of the leave of absence granted during normal working hours will result in disciplinary action.
For the Friday after Ascension Day and the period between Christmas and New Year, a fixed shutdown has been agreed at Nordhausen University of Applied Sciences (24.12. and 31.12. are work-free according to the collective agreement regulations). You can work the missing regular working time on the days of rest in advance or in arrears as time off in lieu or take it as holiday.
Additional days of rest can be agreed annually between the Chancellor and the Staff Council. At the end of each calendar year, you will be informed of the following year's shutdown by circular email.
Employees in Thuringia are entitled to take up to five days a year off work from their employer for further training. The leave of absence is granted with continued payment of wages, but you must bear the costs of the training programme yourself. Educational leave is known in other countries as „Bildungszeit“, „Bildungsurlaub“ or „Arbeitnehmerweiterbildung“.
If you participate in flexible working hours without restriction, you have the opportunity to largely determine the time at which you start and finish work, as well as breaks or other interruptions to your working hours, taking into account the needs of the job.
The earliest possible start of work is Monday to Friday at 6.30 a.m. and end of work at 8 p.m. at the latest. In consideration of the special features of university operations, such as courses or committee meetings, exceptions may be permitted if authorised by the supervisor. Special regulations for professors result from § 97 ThürHG.
Academic staff, teaching staff at the Studienkolleg and other staff with teaching duties can make use of working time autonomy. All you need to do is send a one-off informal notification to the President and the Staff Council, which you can revoke at any time. This gives you the opportunity to determine your own working hours and place of work and to freely organise the distribution of your activities. If you make use of this arrangement, you are responsible for complying with labour and collective bargaining regulations on working hours.
In the event of illness, you must inform your supervisor (or the responsible secretary's office if you cannot be reached) and the Human Resources Department immediately of your incapacity to work and its expected duration. If courses are affected, please also give notice by phone call or e-mail to the Study Service Centre Let us know. Please inform your course participants by e-mail.
A certificate of incapacity for work is required for incapacity for work lasting longer than three calendar days. The duration of the incapacity to work as certified by a doctor must be reported to the Human Resources department by telephone immediately after the doctor's visit. The same applies to any continuation of your incapacity for work at the end of the previous certificate. To exercise your entitlement to child sickness benefit, please send a copy or scan of your child's certificate by e-mail to the Human Resources department.
So that you can organise your work as flexibly as possible, we offer you the opportunity to work on a mobile basis for up to 40% of your annual working hours, depending on the work task and agreement with your line manager.
No fixed workstation is required. The Workplace Ordinance does not apply and work is possible at any place of work, e.g. also in hotel rooms, means of transport, etc. - provided that data protection, accessibility and trouble-free working are guaranteed there. The service agreement „mobile working at Nordhausen University of Applied Sciences“ regulates further details.
It is also possible to apply for teleworking at a fixed workplace outside the university that is set up in accordance with the Workplace Ordinance. Further details are regulated by the Telework Framework Agreement (applies to all departments in the area of the TMWWDG).
Daily rest breaks must be taken in accordance with the statutory provisions. If the working time exceeds six hours, a break of at least 30 minutes must be taken. If the working time exceeds nine hours, the break time must be at least 45 minutes.
The standard working time for full-time employees is eight hours per working day, which corresponds to 40 hours per week. The daily working time, excluding breaks, should not exceed ten hours, which means that any attendance in excess of this must not be counted as working time. Further information on recording working time can be found under Time account on this page. If you work part-time, you can find the standard working hours in your employment contract. It is also possible to agree to spread your working hours over fewer than five days per week.

A new Maternity Protection Act came into force on 1 January 2018 with the Act on the Revision of Maternity Protection Law. The brochure Leitfaden zum Mutterschutz from the Federal Ministry for Family Affairs, Senior Citizens, Women and Youth (BMFSFJ) provides you with detailed information on key aspects of maternity protection. It explains important regulations on your rights and obligations, health protection in the workplace during pregnancy and breastfeeding (in particular working time and health and safety regulations), protection against dismissal and any maternity benefits.
In the event of a pregnancy, it is helpful if the Human Resources department is informed promptly. Ideally, this should be six months before the birth so that the further course of events can be better planned. This helps both you as an expectant mother with your own planning and the university as an employer.
If the university is informed promptly of the existing pregnancy, health regulations can be implemented and, for example, prolonged standing or heavy lifting by the employee can be ruled out.
There are no core working hours. However, for reasons of service quality, the availability of the organisational units should be guaranteed by mutual agreement within the team. This service time can be interrupted by a 30-minute lunch break.
Should it become apparent that the requirements of individual organisational units cannot be met with the specified service hours with regard to customer and demand orientation, changes to the service hours are possible at any time. They can only be agreed between the Registrar and the Staff Council.
Service time at our university:
Full-time employees are entitled to 30 days' holiday per calendar year. If the working hours of part-time employees are spread over fewer than five days per week, the holiday entitlement is reduced accordingly, so that six weeks' holiday can also be taken.
The form for requesting leave can be found in the process management portal. This can be kept in digital or paper form. One form must be used per calendar year and updated accordingly.
In principle, holiday should always be taken by the end of the calendar year. If you still have leave remaining from the previous year, it must be taken in full in the current calendar year by 30 September at the latest, otherwise it will expire.

Time credits can be compensated on an hourly or daily basis by prior arrangement, taking into account the requirements of the job. The employees of an organisational unit can agree on hourly compensation among themselves; daily compensation must be agreed with the line manager. In this case, the compensation may be linked to leave under the collective agreement. A maximum of 15 compensatory days can be taken per year. This number is increased by the number of non-working days on which work was performed by way of exception.
A personal time account is kept for you with the help of manual time recording. The time account should be balanced as soon as the completion of tasks allows. A possible time equalisation is not only limited to the time credit, but is also possible with a negative time balance. At the end of the year, all time credits that exceed the green phase are automatically reduced unless a transfer is requested from the Registrar.
